Administrative Assistant - Chancery

The Chancery grants marriage dispensations and handles cases of marriages attempted outside the Church. Staff members respond to inquiries about sacramental issues, such as questions regarding Catholic weddings, baptisms, and funerals.

Chancery staff members assist people in comprehending canon law, especially the values in which it is rooted and the spirit which guides it. The goal of the Chancery is to bring a pastoral understanding to the application of canon law in people's lives and in the Church's institutions.

Chancery staff members process requests for papal blessings and papal audiences.

The Chancery Office handles the process by which parishes receive authorization for extraordinary, administrative matters. The Chancery also records and authorizes the results of parish trustee elections.

Manage clergy personnel data

    a)  oversee clergy portion of the database, making necessary changes and communicating these changes efficiently and quickly.

    b) maintain curriculum vitae files and personnel files for diocesan priests.

    c) maintain files for religious clergy and religious orders of men and women.

Prepare clergy letters of suitability, celebrets and maintain databases of letters issued and received.

Coordinate official and legal documentation

      a) coordinate proxy process by logging intake of requests, tracking approvals, making follow-up contacts, monitoring legal documents, and filing signed proxies

      b) prepare, record, and file all documentation for ordination, faculties, dimissorials and testimonials

      c)oversee design, implementation and filing of Status Animarum reports on-line; manage follow-up processes

      d) manage compilation of data and corrections for the Official Catholic Directory and handbook.

      e) prepare the annual Vatican report.

administrative services

      a) compose, prepare, edit, and produce monthly Chancery Newsletter

      b) process incoming correspondence; compose and prepare various outgoing correspondence

      c) compose, prepare and produce priests' death notices and  coordinate funeral arrangements and contact bishops' offices for priests' funerals

      d)  manage death notice process for parents of priests

      e)  manage all vault filing and coordinate indexing and cataloguing processes and computer cataloguing

       f) coordinate Chancery computer services, data entry, web-site management, in-office training, program designs

       g) administer mission grant process by soliciting grant applications, preparing national application, and managing disbursement of funds

       h) oversee preparation and planning for monthly Chancery staff meeting agendas and monthly staff calendars;      be responsible for gathering information and submitting forms for vacation/sick days for staff.

      

 

Qualifications

 

3-5 years' experience in a similar role with computer proficiency in Microsoft Office and confidentiality is requred.

Strong processing, data-base software and spreadsheets required

Experience and knowledge of the Catholic Church and parish structures required. Experience in church administration  preferred.

Good working knowledge of parish structure, procedures and parish life. 

Bilingual highly desirable.
