Administrative Assistant - Office for Schools

Prepare varied communications for internal management, Catholic school principals, and Catholic school educators in  response to and in support of the programs and initiatives of the Office for Schools. Coordinate the registration, sponsorship, and exhibitor components of the biennial Catholic educators' convention. Facilitate the biennial Exemplary Recognition Program.  Facilitate the practical components of the accreditation process for all schools accredited by WRISA/AOM. Facilitate the Theology certification program. Coordinate the annual Board of Couselors meetings with the leadership teams of our archdiocesan high schools.Facilitate the annual Herb Kohl Foundation awards program for the archdiocese and assist in the implementation of the annual GIFTS Grant Program. Coordinate registration and program preparations for all events supported by this position.Coordinate liturgies for leadership gatherings, retreats, and retirement events. Provide indirect support to the administrators of our 102 Catholic schools.Provide support for ad hoc projects and programs as they arise.  Answer internal and external inquiries with care and attention to detail, always in a timely manGreet visitors and assist as needed.  Coordinate hospitality for events, programs, and meetings; manage inventory control for food/refreshments.   Facilitate efficient handling of incoming and outgoing mail; manage calendars as requested/needed. Provide organization and time-management assistance as needed. Process expenses and deposits for events supported by this position.  Maintain up-to-date electronic files for the programs this position supports.  Requisition services as needed to keep the OFS running smoothy (e.g., print shop, inter-departmental requests, room reservations, venue reservations, etc.) 

 

Qualifications

High school diploma is required; college degree is desirable. Demonstrated skill with Microsoft Office applications: Excel, Regfox, Google docs. Excellent phone and written communication skills. Proven organization and project management skills. Professional demeanor with the  ability to execise tact and diplomacy. Minimum of three years administrative experience is required. Knowledge of Roman Catholic faith is desired, practicing Catholic preferred. Knowledge of archdiocesan organizational structures and procedures helpful. Bi-lingual highly desirable.
