Administrative Assistant

  1. Primary Duties:
  1. Perform a variety of clerical tasks such as typing, filing, sorting mail and serving as the school receptionist.
  2. Prepare and maintain the school lunch program in compliance with federal regulations and DPI program policies.
  3. Prepare and maintain the school bus schedule.
  4. Ensure constant monitoring and management of the front office, including: answering the phone, greeting and assessing visitors, and assisting the entire school community.
  5. Assist teaching staff with arranging field trips and miscellaneous clerical support.
  6. Maintain an appropriate level of health room supplies.
  7. Provide minor first-aid to students.
  8. Maintain and operate the school office computer and copy machines.
  9. Organize and monitor the schedule for playground and lunchroom supervision.
  10. Be versed in computer skills to maintain school record and communication, etc.
  11. Keep the student files in complete, updated, and confidential order.
  12. Maintain Health Records with proper documentation of the student’s immunization, etc.
  13. Take ownership of the overall environment of the front office and maintain an aesthetically welcoming environment for all guests.  


  1. In Relation to Parents:
  1. Maintain an open relationship with parents through positive informative dialog.
  2. Document significant interactions with parents and/or students, and keep the principal informed of this.


  1. In the Area of Professional Development:
  1. Participate in training, certification process, professional development and in-service opportunities as needed, i.e. hot lunch program, bussing program, records retention policies, administering medication, etc.


  1. Administrative Responsibilities:
  1. Hold student information in a professional and confidential manner.
  2. Keep accurate records and accounts for the office in areas such as attendance; parent notes, forms, etc.
  3. Keep the principal informed of any parent/guardian concerns.
  4. Coordinate and cooperate with volunteers who donate their time and talents.
  5. Maintain a general neatness and order within the school office, in the use of school equipment and materials and in areas of common use.
  6. Report damages or needed repairs to the maintenance office, especially in regards to safety or health hazards.
  7. Perform additional duties as needed and requested by the principal for the good of the school.



  1. Supervised by the School Principal.
  2. Collaborates with teachers and teacher aides, Parish office and custodial staff, Principal and Pastor.



A.        Education:

  1. Completion of Safeguarding God’s family and background checks.
  2. High School Diploma, 3-5 years office experience
  3. Experience in office equipment and procedures
  4. Proficient with current Microsoft Office software.


B.        Personal Aptitude:

  1. Witness of Gospel Values.
  2. Honor and carry out requirements as are stated in the Parish Employee Handbook.
  3. Ability to maintain confidentiality in all matters.
  4. Sensitivity to, and understanding of, children and adults of varying temperaments.
  5. Professionalism in attire, communication and demeanor.
