Advancement Assistant

Duties and Responsibilities:

  1. Schedule appointments, coordinate meetings, and manage the calendar of the President.

  2. Prepare and distribute correspondence, reports, minutes, and other materials as directed by the President and VP of Advancement (typing, copying, filing, emailing, mailing).

  3. Coordinate a variety of special events, activities, projects, and mailings related to the offices of the President and VP of Advancement.

  4. Serve as secretary to the NDSM Board of Directors. Maintain the Board Shared Drive, take minutes, and support the work of Board committees.

  5. Database entry to include entering gifts, updating records, adding new information, and producing acknowledgments.

  6. Work in concert with the Advancement office to maintain an accurate mailing database and to coordinate mailings, solicitations, and events for Board members and other NDSM friends.

  7. Maintain guest lists, gather and prepare invitation and registration materials, and other duties for various fundraising events.

  8. Greet guests, prepare rooms and materials, and provide support for meetings with the President and VP of Advancement.

  9. Manage postage meter and maintain an inventory of office supplies, including printed materials.

  10. Maintain the school website.

  11. Handle administrative details associated with Advancement-related meetings, including preparing notices, agendas, and minutes.

  12. Assist with all Advancement Department’s mailings, including donor solicitations, invitations to various events, annual appeal mailings, and others as needed.

  13. Other duties as requested or assigned.

 

Job Knowledge, Skills, and Abilities:

  1. Excellent interpersonal skills. Must be able to communicate effectively with other staff, students, parents, donors, and the general public. Must represent the school and the Advancement office in a professional and welcoming manner.

  2. Must be flexible and a team player. This position supports the goals of the entire Advancement office. Must be flexible to adjust priorities and organize work to accomplish tasks in a timely fashion.

  3. Must have the ability to maintain absolute confidentiality and professionalism.

  4. Advanced analytical ability and critical thinking skills are required for database responsibilities and troubleshooting. Must be organized and have the ability to work as a team or independently.

  5. Requires a creative, self-directed individual with the confidence to suggest improvements and modifications of existing systems. 

  6. Experience with the Google Suite and PC applications, including proficiency in Microsoft Word and Excel. Familiarity with Photoshop and InDesign is a plus. 

  7. Experience with donor management systems or a willingness to learn. Familiarity with DonorSnap is a plus.

  8. Excellent verbal and written communication skills. Convey and present information effectively and concisely. Ability to effectively build strong interpersonal relationships.

  9. Ability to work independently but know when to seek assistance in decision-making.

  10. Attention to detail in composing, typing, proofing materials, establishing priorities, and meeting deadlines.

Experience/Education Requirements:

  1. Bachelor’s Degree

  2. Requires a minimum of 1 year of work and/or intern experience in fund development, marketing, office administration, or event planning.

  1. May require extended periods of sitting.

  2. Ability to talk and listen effectively to communicate with others in person, on the phone, and virtually.

  3. Ability to see at a close range and to read materials and computer screens. 

  4. May work remotely in an open or onsite in an office, as appropriate.
