Parish Administrative Assistant

  •  Provide computer database support and word processing for the Pastoral Staff members. Prepare written communication flyers, brochures and other announcements; organize files; maintain new contacts and appropriate databases. Maintain event responses and materials for various parish organizations.
  • Schedule tours of the Cathedral – including answering questions, scheduling tour guides, and facilities.
  • Scheduling of facility use by the Parish, Parish Staff, the Archdiocese, and outside groups. Provide information and usage agreements to the group scheduling event. Coordination of event setup.
  • Scheduling of Liturgical ministers. Making sure the schedules are prepared and distributed in a timely manner for all Sunday, Holy Day and Devotional services.
  • Scheduling volunteers for Open Door Café.
  • Enter parish event data into Facility Scheduler and print & distribute reports.
  • Provide layout design for parish sacramental certificates, invitations, posters, flyers, reply cards, and other items as needed. Serve as back-up to the Communications Coordinator for Orders of Worship preparation.

  • Serve as backup, in Communications Coordinator absence, maintenance of data in the parish’s PDS census database Data System.

  • Assist in answering incoming phone calls as needed and serve as receptionist when needed.

  • Serve as backup to the Rector’s Secretary in her absence.

  • Perform other duties as assigned by the Rector or Pastoral Staff.


  • Must have knowledge of and skill in using computers and word processing, including working knowledge in Microsoft Office products.

  • Prior experience in preparation and creation of schedules, and documents requiring Microsoft Publisher.

  • Must have proficient typing skills.

  • Professional working attitude and collaborative approach.

  • Strong verbal and written communications skills.

  • Strong organizational skills. Ability to multitask, prioritize, and collaborate.

  • Ability to maintain confidentiality.

  • Ability to relate to a variety of persons.
  • Basic knowledge of how the parish operates, and ability to grasp how the parish office functions.
  • Knowledge and skill in the operation of computer printers, copiers, fax machines, and postage meters.
  • Ability to be flexible and adaptable in the performance of duties.
  • Previous training or experience using various computer software programs is required. Strong ability in word processing Windows, Microsoft Publishing and, the Internet and email. Use of Access or other database programs, spreadsheets applications and Power Point may be required.
  • Administrative experience of at least two or three years.  Experience in a church or nonprofit setting helpful.
