Advancement & Marketing Coordinator
The Advancement & Marketing Coordinator plays a vital role in supporting Messmer High School’s philanthropic goals and strengthening engagement with donors, alumni, and the broader community. This position provides essential support to the Advancement team in the areas of gift processing, database management, events, administrative coordination, donor relations, and digital content creation.
We are looking for a highly organized, detail-oriented professional who can manage the accuracy and administrative responsibilities of advancement work while also helping amplify Messmer’s story through engaging digital content. The ideal candidate is a strong communicator who enjoys capturing and sharing the people, programs, and moments that make Messmer unique.
This is a full-time position. Approximately 75% advancement / 25% marketing per week.
Key Responsibilities
Gift Processing & Database Management
- Accurately process all philanthropic gifts, pledges, and matching gifts in the donor database (Salesforce).
- Generate timely and personalized donor acknowledgment letters, tax receipts, and tribute notifications.
- Maintain data integrity by regularly updating donor records, contact information, and communication preferences.
- Pull financial reports, donor lists, and mailing lists for appeals and stewardship campaigns.
Event Coordination & Logistics
- Manage event RSVP lists, check-in processes, and post-event follow-ups.
- Assist with event communications and materials, including signage and other event-related needs.
Digital Content Creation
- Create and capture engaging social media content that highlights Messmer students, faculty, alumni, events, programs, and community stories.
- Take photos and short-form videos for social media and other digital communications.
- Work collaboratively with the Director of Marketing & Communications to ensure digital content is accurate, timely, engaging, and consistent with Messmer’s brand and messaging.
Qualifications & Skills
- Education: Bachelor’s degree in communications, Business, Non-Profit Management, or a related field (or equivalent work experience).
- Experience: 2–4 years of experience in a non-profit fundraising, advancement, marketing, or administrative role.
- Technical Skills:
- Proficiency with CRM/donor databases (Salesforce, Givesmart)
- Strong command of Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Experience creating content for social media, including photography, short-form video, and written content.
- Experience in supporting events, communications, or community engagement is preferred.
- Core Competencies:
- High level of discretion and integrity when handling confidential donor information.
- Strong project management skills with the ability to juggle multiple deadlines.
- Collaborative, positive, and enjoys contributing to team success.
- Experience with social media platforms, particularly Facebook and Instagram.
- Some experience with photography or video creation is preferred.
Work Environment & Physical Demands
- Standard office environment. Sitting and standing for an 8-hour workday (in person).
- Ability to work occasional evenings and weekends for major fundraising events.
