and administration of the Sisters of Charity of St. Joan Antida, Inc.
GENERAL RESPONSIBILITIES:
Through close contact with the Business Office Manager provides assistance for the administration of the business affairs of the Sisters of Charity of St. Joan Antida Inc. (SCSJA) as well as overall support of the Sisters of the Province.
ESSENTIAL JOB FUNCTIONS:
- Evidence of ability to maintain confidentiality.
- Process accounts payable and receivable posting all income and expenses to chart of accounts.
- Record and process provincial and local community income including preparation and delivery of bank deposits.
- Reconcile checking accounts with general ledgers on a monthly basis.
- Maintain petty cash account.
- Facilitate yearly tax-exempt verification with outside vendors. Complete and submit necessary paperwork to various vendors.
- Reconcile information for preparation of 1099 forms.
- Maintain auto registrations and facilitate license plate renewals for all vehicles owned by the Province.
- Completion of various government surveys and required reports.
- Facilitate annual updates for all SCSJA organizations/local communities for inclusion in the Official Catholic Directory (OCD).
- Facilitate distribution of the IRS group ruling letter and appearance in the OCD to appropriate individuals/departments.
- Manage and maintain various data lists using WORD/EXCEL.
- Create Community materials using basic knowledge of Adobe Creative Cloud
- Issue acknowledgements of all donations received.
- Facilitate resolution process in conjunction with IT consultant when scsja user has problems related to:
- Computer Issues
- Printers/printing problems
- Email Access and use
- Network
- Internet Access
- Order office and chapel supplies
- Answer phones
- Maintain files
- Monitor postage account to assure adequate postage for all mailings.
- Sort incoming mail on a daily basis
- Deliver outgoing mail to the post office on a daily basis
- Must be able to lift up to 25 lbs.
- Must be able to work with common office equipment
- Other duties as assigned
QUALIFICATIONS:
- At least four to six years of overall professional experience; ideally three-plus years of broad financial and operations management experience.
- Able to take ownership and drive activities to completion.
- Ability to manage multiple tasks and projects with minimal supervision.
- Excellent communication and relationship building skills with an ability to negotiate and work with a variety of internal/external stakeholders.
- A multi-tasker with the ability to wear many hats and prioritize work demands.
- Personal qualities of integrity, credibility, and dedication to mission.
- Must have a valid driver’s license.
- Computer literate with willingness to expand knowledge of Adobe Creative Cloud.

WORK RELATIONSHIPS:
Functions under the guidance of the Business Office Manager with the possibility of advancing within the organization. This position requires external communication with the public, donors, vendors and volunteers.
