Administrative Assistant

Major Position Responsibilities and Regular Activities Include:

  1. Office Management
    • Complete general administration duties in accordance with established procedures
    • Maintain parish computer and written records, reports, and documents
    • Complete records and certificates, as needed, for Baptisms, Marriages, Sacraments celebrated through the RCIA & RCIC, First Communions, Confirmations & deaths
    • Assist in the coordination of funeral arrangements as necessary
    • Develop parish calendar with staff and parish leaders
    • Assign Pre Marital Inventory survey couples in collaboration with the Pastor
    • Maintains records of registration and attendance in Parish Database, including accepting and recording tuition fees
    • Orders and maintains an inventory of supplies, as needed, for the Formation programs, and for related and/or designated programs.
    • Produces communications and promotional materials as needed
    • Prints program materials for Christian Formation programs; includes preparing charge sheets as appropriate
    • Prepares large mailings for Christian Formation programs; to include preparation of mailing material, posting of mail pieces, organizing mail pieces appropriate to type of mailing, and taking mailing to post office; includes preparing charge sheets as appropriate
    • Assist the wellness ministries as requested
    • Assist with the Human Concerns' ministries as requested
    • Assist with the St. Vincent De Paul ministries as needed
    • Recruit, train and schedule office volunteers as appropriate to maintain coverage.
  2. Communications
    • Receive mail on a daily basis and distribute to appropriate mail boxes
    • Print order of worship and bulletin inserts for parish ministries and organizations
    • Assist with preparation of mailings for parish ministries and organizations
  3. Reception of Parishioners and Parish Office Visitors
    • Greet and offer assistance to Parishioners, Staff, and visitors to the Parish in a friendly, welcoming manner
    • Warmly answer the telephone, taking messages, or transferring calls to the appropriate Staff member or voice mailbox
    • Recognize the need for confidentiality in the ongoing Pastoral care work of the Parish
  4. Christian Formation
    • Assists Faith Formation Team Members with Formation program as needed, and/or as reasonably requested
      • Assists with GIFT as needed, including catechist gatherings
      • Provides support for Sacramental preparation
      • Provides support for retreat ministry
      • Assists with social and service opportunities
      • Helps set up parish Hall and/or classrooms as requested, and cleans up following meetings as needed
      • ssists with special events, parent programs, initial welcome/orientation sessions, and selected fellowships (This may require evening and weekend hours.)
  5. Other Duties
    • Attends appropriate staff, committee and Archdiocesan meetings as warranted.
    • Maintain a detailed job manual and volunteer reference manual
    • Work compatibly with other staff by information sharing

Religious Requirements

  • Catholic preferred by not required

Education

  • Possesses a High School diploma or equivalent

Experience

  • Has a basic understanding of the mission of the Parish
  • Has a basic understanding of the parish ministries
  • Demonstrates competencies in operating a variety of other business machines
  • Demonstrates competencies in performing a variety of secretarial / clerical functions

Skills, Knowledge, and/or Abilities

  • Has computer skills with an understanding of Microsoft Windows, Microsoft Word, Microsoft Publisher, and ParishSoft or other database application
  • Has knowledge of social media outlets
  • Exhibits good written and oral communication; has good planning/organizational skills and works independently
  • Works cooperatively with Staff and volunteers
  • Utilizes a Pastoral approach when dealing with people
  • Recognizes that time management is a crucial factor in completing the various tasks required of this ministry
  • Maintains openness to ongoing skills and formation training

Working Environment

  • Must understand the sensitive and public profile nature of the work of the church. Should adhere to the highest standards of good practices and confidentiality. Must be proactive in support of the church's mission statement, goals, policies and programs. Flexibility in work schedule and work styles is expected given the nature of a family centric parish.
