The primary function of this position is to provide administrative support for the parish office. As one of key point of contact for visitors and callers, this role includes effective communication, record management, scheduling, general office duties while maintaining confidentiality and reflecting the teachings of the Roman Catholic Church.
Administrative Support
- Design, format, and layout publications and mailings as requested.
- Enter events into the parish calendar as requested and identify conflicts.
- Assist with administrative tasks for meetings, programs, and/or projects.
- Perform general word processing and compose letters as requested.
- Process incoming and outgoing mail – including e-mail and bulk mailings.
- Respond to correspondence as appropriate.
- Assists with sacramental records for baptisms, marriages and funerals and responds to requests for sacramental records as requested.
- Assists with sacramental record keeping in compliance with diocesan standards as requested.
- Assist with scheduling sacramental requests, i.e., masses, funerals, weddings as requested.
- Assist with Mass Intention requests.
- Assist with check request processing.
- Assist with parish bulletin distribution via mail.
- Assist with various required diocese reporting functions.
- Assist with invoice processing in preparation for finance.
- Other duties as assigned.
Office Coordination
- Ensure parish office is properly opened and closed.
- Ensure proper maintenance and function of office equipment.
- Maintain clean, organized office environment.
- Maintain current, well-organized files and records.
- Provide directions to volunteers in parish office as needed.
- Part of team with cross-trained duties/tasks ensuring day to day operation.
Reception and Communication
Great and assist visitors in person and on the phone in a welcoming and professional manner.
Record and relay messages and screen phone calls as directed.Answer inquiries using knowledge of parish programs or services or direct the caller to the appropriate staff liaison or community agency.
Provide assistance to others as needed in need in a respectful and charitable manner.
Assist in areas of hospitality including organizing areas, supplies & volunteer coordination.
Qualifications
Proven ability in people skills, computers, phone systems and office administrative work required.
Experience in Microsoft Office 365.
Familiarity and comfort with the Catholic Church preferred.
Having completed or willing to complete the Safeguarding All God's Children certification class.
