Administrative Assistant and Safe Environment Coordinator

Religious Education and Sacramental Support

  • Assist the Director of Religious Education in developing and scheduling religious education content for parishioners and guests of all ages, including curriculum selection, support materials, calendars, and space allocation (encompassing adult education and Bible studies).

  • Manage scheduling and paperwork for sacraments such as Baptism, Holy Communion, Penance, and Confirmation; support marriage preparation processes, including inventories, affidavits, and information gathering, in collaboration with the Director of Religious Education and Pastor.

  • Coordinate religious education communications for catechists and families via email, Flocknote, and in-person support at parent meetings.

  • Help plan and implement formational retreats, events, pilgrimages, and small groups for youth, young adults, and their parents.

  • Maintain religious education materials, files, and sacramental records in compliance with canon law and Archdiocesan policies; notify relevant parishes of completed sacraments.

  • Support the Director of Religious Education in identifying and recruiting new families to the religious education program.

 

Safe Environment and Volunteer Coordination

  • Serve as the Safe Environment Site Coordinator, ensuring all employees and volunteers complete required trainings and background checks; submit compliance documentation and deliver certified Safe Environment trainings as needed.

  • Solicit, organize, schedule, and direct volunteers for parish operations and events; collaborate with staff to integrate volunteer support into workflows.

  • Assist the Pastor and Director of Music & Liturgy in coordinating altar servers and teen volunteers for liturgies and events.

  • Collaborate with the Director of Music & Liturgy and Director of Religious Education to recruit, train, and schedule liturgical ministers, including lectors, ushers, and altar servers.

 

Event Planning and Parish Engagement

  • Collaborate with staff to prepare for high-demand liturgical seasons (e.g., Advent, Christmas, Lent, Easter) and parishioner events or prayer opportunities, including volunteer coordination.

  • Assist in planning and executing parish events, dinners, outings, pilgrimages, and receptions following sacramental Masses (e.g., Easter Vigil, First Communion, Confirmation); act as the primary point of contact during these events.

  • Ensure compliance for events by verifying food handler and bartending licenses, managing raffle licenses, and obtaining other necessary permits.

  • Actively engage parishioners in parish opportunities, including liturgies and events.

 

Administrative and Operational Duties

  • Function as parishioner database administrator; maintain up-to-date information on the website, Facebook, and database in collaboration with other staff.

  • Manage office documents, procedure descriptions, and key logs to support human resources functions.

  • Assist with ordering supplies, contacting vendors, contractors, or service providers as directed by the Director of Religious Education and Pastor.

  • Serve as the primary point of contact for parishioner inquiries via phone or in-person, addressing needs such as Mass intentions, schedules, new parishioner welcomes, information updates, sacramental details, and catechetical coordination.

  • Support the Office Manager with cemetery-related tasks during absences.

  • Aid the Director of Music & Liturgy with preparations for holiday musicians and publications as needed.

  • Schedule maintenance and service of office equipment, including copiers, printers, phones, doorbell and fob systems, auditorium lights and sound, and HVAC.

  • Occasionally travel to other campuses to lock/unlock doors, host or run events, or retrieve materials for liturgical or operational needs.

 

Additional Duties

  • Perform other responsibilities as assigned by the Pastor.

 

Additional Information

This position reports directly to the Director of Religious Education and Pastor.

 

Qualifications

Qualifications and Skills

  • Strong administrative and organizational abilities with proficiency in Microsoft Office, email platforms, and database management.

  • Excellent communication skills, both written and verbal, with a customer-service-oriented approach.

  • Knowledge of Catholic teachings, sacraments, and canon law preferred.

  • Ability to work collaboratively in a team environment while managing multiple priorities.

  • Certification or willingness to obtain Archdiocesan Safe Environment training.

  • Flexibility for occasional evening, weekend, or travel requirements.

  • Ability to speak and/or write in Spanish is helpful but not required.
