Position Description
The Athletics Assistant provides administrative support to the athletic department, specifically the General Manager, Athletic Director, Jr. Crusaders Program Director and Coaches. Acts as a liaison to coaches, faculty, staff, students, parents, alumni, and community members. The position is responsible for the administration of sporting event contracts, data management, rosters, programs, and coordinates bus transportation and accommodations. The position will work in alignment with the school’s mission, vision, values, and education-based athletics programming. The position reports to the General Manager (GM).
Duties and Responsibilities
This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time. Supports the Athletic Department and athletic programming including but limited to:
Contest Scheduling and Coordination:
- Maintain the athletic department calendar and schedule, i.e., home and away athletic events, Parent meeting events and calendar, Coaches Corner, Website event calendar.
- Update schedule on school calendar and provide AD and Marketing Department with information regarding changes, postponements, or cancellations.
- Confirm events with competing schools each week for all events.
- Verify and secure game officials for athletic sporting events.
Event Management:
- Assist the AD in coordination of support personnel for all athletic contests, including game management, ticket sales, security, athletic trainer, emergency personnel and required apparatuses.
- Prepare and distribute information supporting athletic award ceremonies, i.e., student letters, pins, numerals.
- Liaise with the Business Office to process and manage purchase orders and athletic budget.
- Support athletic program events, i.e., annual golf event, booster club events, etc. Work outside of schedule may be required and is negotiable.
Coach and Athlete Eligibility:
- Process and provide oversight of coaching staff on-boarding requirements and monitor continued eligibility.
- Organize and maintain accurate student athlete information files, i.e., forms, physicals, grades, transfers.
- Confirm student Code of Conduct and WIAA compliance.
- Coordinate and manage record keeping and analyze Coach, Athlete, and sporting event data.
Additional Responsibilities:
- Reply and respond to athletic department inquiries, i.e., phone, email, in-person.
- Handle questions from parents, community, teachers, counselors, and administrators concerning all sports activities.
- In conjunction with the Marketing Department, assist AD with maintaining the athletic department’s pages on the school website.
- Other Duties as assigned.
Qualifications
Education, Training and/or Experience
- High School Diploma or equivalent required. Bachelor's degree in business or a related field preferred.
- Experience working in an athletic department or high-demand office team environment a plus.
- Knowledge of MS Office and database management required.
- Experience with rSchool and sports team scheduling software a plus, will train.
