Summary
The Events Manager will report to the Vice President of Advancement and Operations and be responsible for the management of all special events and provide assistance in event fundraising efforts designed to engage, cultivate, solicit and steward CMH donors, current parents, prospective parents, volunteers and other stakeholders.
Essential Duties And Responsibilities
- Responsible for the planning and execution of CMH’s signature fundraising, admissions and donor events including, but not limited to, the annual Crusader Auction, Golf Outing, biennial Athletic Hall of Fame, annual Open House, Future Leaders Forum, STEM Challenge, Catholic Schools Week Mass, Registration Night, Celebrating Lives of Service Mass, Senior Awards and Graduation, donor recognition events and other events as they arise.
- Creates and manages event work plans and budgets to achieve annual financial goals and ensure secure financial processes. Oversees compliance with all necessary regulations.
- Works with the Development department to develop and execute event sponsorship strategy to ensure budgets are met.
- Develops and adheres to all event budgets.
- Coordinates a systematic process of identifying, recruiting and supporting the event leadership including chair(s) and committee heads, and other volunteers.
- Orients new volunteers and ensures progress through regular meetings/contact with volunteers.
- Coordinates the promotional activities in collaboration with marketing and communication colleagues, including print and web articles, solicitations, and publications including invitations, catalogs, etc.
- Responsible for calling prospective donors and sponsors to solicit their support. Maintain prospect list, including contact information and tracking of outreach, responses, and in-house responsibilities.
- Responsible for event set-up, day-of activities and cleanup and coordinates necessary participation of other CMH staff and departments.
- Ensures proper stewardship of all volunteers and contributors.
- Evaluates and reports outcomes and processes for continuous improvement.
- Communicates event strategy, plan execution, prospective donor lists, obstacles and successes, and updated tracking data to Vice President of Advancement and Operations on biweekly basis.
- Negotiates and secures contracts with vendors hired for CMH events, securing proper approvals and signatures from management.
- Partners with ancillary groups (Parent’s Club, Booster Club, Friends of the Arts, etc.) affiliated with CMH to assist in the planning of events.
- Contributes to and supports overall Development and Advancement plans.
- Role models the mission, vision and values of CMH.
- Other duties as assigned.
Qualifications
- Bachelor’s degree and at least 3 years of professional experience in event planning, marketing, fundraising, or similar discipline. Proven experience in all aspects of planning and execution of large-scale fundraisers/gala.
- Proficiency in Microsoft Word, Excel and PowerPoint required.
- Strong organizational skills.
- Proficiency in Raiser’s Edge or equivalent fundraising application a strong plus.
- Event software experience required; proficiency in Greater Giving software a strong plus.
- Occasional evening and weekend work required.
- Proper completion of Safeguarding God’s Children certification from the Archdioceses of Milwaukee, or willing to obtain certification prior to start date.
- Bilingual abilities are a plus.
