Responsibilities and Tasks
- Serves as receptionist for the parish office:
- Records clear and accurate messages
- Handles routine questions about policies and parish calendars
- Greets and meets visitors
- Provides secretarial and clerical services to the pastors and staff
- Prepares regular and bulk mailings
- Sorts and distributes mail and other related material
- Maintains filing system
- Monitors and orders office supplies
- Types various documents, as required
- Provides recordkeeping services for the parish
- Records and acknowledges weekly contributions with the director of administrative services
- Maintains and conducts searches of parish database & produces necessary reports as requested
- Maintains records for the parish office (e.g. wedding files, recording of marriages, Baptisms, funerals, new parishioner registrations, financial contributions)
- Processes information to other parishes and/or chancery as needed
- Timely prepares the weekly bulletin by gathering information, utilizing applicable software, and transmitting copy to the print vendor.
- Prepares and coordinates the bulletin inserts.
- Schedules tours of the Cathedral — including answering questions, scheduling tour guides, and facilities.
- Schedules facility use by the parish, parish staff, the archdiocese and outside groups; provides information and usage agreements to the group scheduling event and coordinates event setup.
- Schedules weddings, quinceaneras, funerals and Baptisms with priests
- Schedules and maintains system for use of space in all facilities
- Helps to make sure the Cathedral’s website is accurate
- Coordinates and schedules volunteers in the parish office
- Prepares certificates and other documents related to sacraments
- Prepares all parish membership letters
- Coordinates and transmits information appropriately between staff and parishioners
- Communicates with maintenance and director of administrative services re: parish needs and/or reports
Other duties as assigned by Pastor/Pastoral Associate
Qualifications
- Bilingual (Spanish & English)
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office (Word, Excel and Outlook) and able to learn ACS and other parish software
- Organized, able to multitask and detail-oriented
- Flexible and able to work well independently
- The candidate must understand the sensitive and public profile nature of the work of the church and should adhere to the highest standards of best practices and confidentiality. The candidate must be proactive in support of the church’s mission statement, goals, policies and programs.
