Using Online Meetings in Your Ministry

A brief explanation of using online meeting applications in parish and school ministry.

Who could use online meetings?online meetings

  • People who need flexibility when it comes to scheduling
  • People working at multiple locations or geographically separated
  • Homebound people or those who don’t have adequate transportation
  • People trying to reduce travel expenses
  • When weather is a safety concern
  • When recording a meeting is helpful
  • Anyone, at any time, from any place

What features are available?

  • Video calls and instant messaging
  • Desktop sharing (everyone views what is on the presenters screen)
  • Advanced features: file sharing, polling questions, surveys, recording the session

Requirements for online meetings

  • Get an account with a service,  e-mail address required (if hosting)
  • Computer or smartphone with internet access (participants can connect with a phone for audio only)
  • Microphone and speakers
    • Recommend a headset with microphone for VoIP
    • Voice over IP or telephone (phone may add cost for participants, not available in all services)
  • Webcam if presenting video of yourself
    • Webcams also have microphones
  • Some systems require the user to install a player but most work within a web browser

How much does it cost?

  • Pricing is typically based on number of simultaneous participants, pricing can range from Free to $50 or more per month
  • Monthly rates available (Less expensive if you pay annually)
