Admissions Assistant

Database Management

  • Manage the Admissions database using Finalsite Enrollment, our application platform. Finalsite Enrollment also includes functions for the Business Office (tuition, financial aid, Choice, scholarships, etc).

  • Manage the prospective student mailing lists (emails and postal mail).

  • Provide communication lists for the Admissions department along with other departments as needed. 
     

Event Planning and Support

  • Support the preparation, planning, training, parent staffing and facilitation of Open House prior to and on the day of the event.

  • Support the Campus Visit Program by providing administrative support, including printing name tags, preparing handouts, welcoming parents, and other duties as assigned.

  • Assist in planning and staffing prospective students and incoming freshman events, including: parent ambassador phone calls, spring activity fair, sporting events, welcome night, fun night, summer school, EXPLORE!, yield events and others to be determined.

  • Manage mailings (USPS and digital) for the Admissions Dept. as needed to support events and functions, including invitations, admission decisions letters, financial aid information, campus visit reminders and surveys.

  • Manage the entrance exam registration and be present for entrance exam test days. 

  • Assist with school visits, evening fairs and private tours, as needed.

 

Marketing & Communication

  • Manage school record requests for all applicants.

  • Process all requests made by outside schools and groups for advertising and spirit wear packages that support feeder schools and other related non-profit organizations. 

  • Manage the department email admissions@muhs.edu and respond accordingly.

  • Assist Communications Department in content management for the Admissions section of the website. Create forms, export data, and update calendars. 

  • Communicate with all stakeholders (prospective families, feeder schools, faculty and staff, community groups) in a professional manner with an emphasis on customer service for prospective families. 

  • Serve as a member of the marketing committee. 

 

Administrative and Clerical

  • Manage the overall administrative functions of the department as requested by the Director of Admissions.

  • Be an official “designee” as recognized by the Wisconsin Department of Public Instruction for the Milwaukee Parental Choice Program. Provide support to the Director of Admissions in administering this program including the application process, annual audit, communication with parents, filing paperwork, testing, and other duties as assigned. 

  • Process department invoices in a timely manner.

  • Order supplies (general and for events) for the department.

  • Assist with the book program. 


Supervision Received:  This position is supervised by the Director of Admissions.

Qualifications

 

Job Requirements: 

  • Two- or four-year college degree, or high school diploma and at least five years of related-office experience

  • Excellent written and oral communications skills

  • Ability to work independently and with the team

  • Strong knowledge of Google (Gmail, Drive, Calendar, Sheets, etc.)

  • Knowledge of Finalsite Enrollment or other database software, or the ability to learn the database

  • Strong organizational skills

  • Detail oriented

  • Experience planning and working events

  • Proofreading ability and knowledge of grammar, spelling and punctuation

  • Spanish proficiency is preferred but not required

 

Working Environment: This is a 12-month position. Work hours are generally 7:30 a.m. to 4:00 p.m. There are times when the employee will need to work at events that are scheduled on evenings and/or weekends. The position requires frequent interaction with others, repetitive motion, frequent bending and lifting.
