Accounts Receivable Coordinator

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.

1. Performs all accounts receivable functions including billing tuition and incidental fees, communicating with families regarding billing and payments, and working with Controller on account collections.

2. Creates annual enrollment contracts and works with families to ensure successful submission.

3. Works closely with Director of Admissions and Financial Aid to ensure financial aid awards are accurately reflected on student accounts.

4. Receives incoming cash and checks from parents, faculty and staff, and advancement department. Deposits funds into the bank account in a timely manner.

5. Prepares and enters assigned journal entries to record revenue received from student billing items, fundraising and other school activities into appropriate general ledger accounts.

6. Accurately tracks and records advanced tuition payments.

7. Reconciles various general ledger revenue and receivable accounts each month, including tuition, financial aid, advancement revenue, and receivables accounts. Researches and resolves accounting discrepancies.

8. Coordinates the purchase and distribution of office supplies, classroom supplies, summer camp supplies, stationery/envelopes, and paper.

9. Provides exemplary customer service to all who interact with the business office: parents, students, faculty and staff, and vendors and suppliers.

10. Acts as primary liaison with student billing system, office supplies and stationery vendors.

11. Manages the class schedule hold list for students with overdue accounts at the start of the school year.

12. Performs general office duties as assigned, including daily mail distribution and filing.

13. Receives, holds, communicates, and arranges final pick of uncollected Dasher Sale funds with families.

14. Manages and balances petty cash drawer. Makes change for students before and after school and during two lunch periods.

15. Completes other duties as required.

Education and/or Experience:

The position requires a high school diploma. Some experience in accounting field required; three to five years’ experience in an accounting environment is desired.

Knowledge, Skills and Abilities:

Effective oral and written communications are essential. Comfort with computerized accounting systems and the ability to learn new systems is required. Strong Excel skills required. Analytical and organizational skills are necessary. The ability to work with frequent, established deadlines is required. The ability to work effectively with diverse populations is required.

Physical Demands: 

While performing the duties of this job, the employee is frequently required to sit; talk or hear; and use hands to finger, handle, or touch objects or controls. The employee is regularly required to stand and walk. On occasion the incumbent may be required to stoop, bend or reach above the shoulders.

The employee must occasionally lift up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Work Environment: 

The work takes place in primarily an office/school environment.
