Key Responsibilities:
Acts as receptionist for the parish office which includes answering the doors and phone communications for all parish staff.
Translation of Articles for the bulletins, bulletin inserts, letters, etc.
Prepares Weekend and Holy Day Presider and Lector mass books.
Schedules Baptisms and 3 year old Presentations, which include baptism prep sessions and coordinate all record keeping.
Prepares Sacramental Certicates.
Registers new parish members and inputs into Parish Data Systems.
Schedules Mass Intentions according to Parish, Diocesan and Church policies.
Maintains all parish sacramental records and handles correspondence in regards to request in accordance with Diocesan policies (includes: Baptism,1st Communion, Confirmation, Marriage and Death records). Also includes mailing sacramental notifications out for recording at Baptismal Parishes.
Works with Director of Faith Formation to register, accept payments and necessary documents for programs.
Works closely with Pastor, Associate Pastor and Deacons in scheduling, maintaining and updating Quinceañera Calendar.
Works with funeral homes and Pastor in scheduling funerals and distributes corresponding materials to parish and maintenance staff.
Performs general secretarial work for the Pastor and other Pastorial Staff, including typing, dictation, duplication, correspondence, etc.
Maintains Parish Facebook Account.
Performs other tasks as delegated by the Pastor, Associate Pastor, and/or the Director of Administrative Services.
Performs other duties and responsibilities as assigned.
Qualifications
High School Graduate or Equivalency
Work Experience in an office environment preferred
Proper phone etiquette
Has computer skills with an understanding of Microsoft Word, Excel and Publisher
Typing skills of at least 40 words per minute
Strong organizational skills, self motivated and ability to prioritize duties
Ability to multi-task efficiently and accurately
Practicing Catholic preferred
Must complete Archdiocese "Safeguarding All God's Family" program prior to employment, unless already certified
