Main Office Receptionist (Summer full-time)

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.

Daily Telephone Duties:

  • Answers the main telephone lines at Divine Savior Holy Angels (DSHA) High School, determines the needs of the caller and routes the calls appropriately.
  • Retrieves and reviews messages left on the main office telephone line.
  • Use the classroom phones to communicate with the faculty when necessary.
  • Provides general information about the school and daily activities to callers.

Daily Receptionist Duties:

  • Welcomes guests to the main office in a professional and respectful manner.
  • Provides for campus security by requiring visitors to sign in and directing them as necessary to the correct person or department in accordance with our safety and security plan.
  • Responds to the security system, ensuring that all entrants have identified themselves and have stated their business in accordance with our safety and security plan.
  • Maintain communication with the Maintenance Department regarding incoming phone calls, deliveries and various school maintenance requests via walkie-talkie.
  • Distribute materials to faculty mailboxes from students, staff, and the public.
  • Accept and sign for special delivery mail, parcel deliveries, van and car rentals, copy machine repairs, etc.

Other Duties:

  • Assists Executive Assistant with summer projects.
  • Assist with the summer cool instructors on projects if time permits.
  • Oversees and assists with the public announcement system (PA).
  • Maintain reception area in a neat and orderly manner.
  • Completes other duties as assigned.

Education and/or Experience:

Position requires a high school diploma or GED.

Knowledge, Skills and Abilities:

Effective oral and written communication skills are required.  The ability to multi-task, understand and follow specific instructions and procedures is required daily. The ability to stay focused in an area with frequent interruptions is required. The ability to prioritize duties and to deal with diverse populations, internally and externally, is required.

Must be able to maintain confidential information appropriately.  Records maintenance skills and the ability to prepare and print routine correspondence and other basic written material. 

The ability to operate office machinery is required. PC experience and knowledge of MS Office software including excel is required.  Must be able to track data and generate reports as requested. 

Physical Demands:

While performing the duties of this job, the employee is frequently required to stand, talk or hear; and use hands to finger, handle, or touch objects or controls.  The employee is frequently required to stand and walk.  Occasionally, the incumbent will be required to stoop, bend or reach above the shoulders.

The employee must occasionally lift to 25 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Protective Clothing Required: 

Occasionally gloves are required when administering to injured students.

Work Environment: 

This position requires constant contact and communication with others, multitasking, repetitive motion, some bending and requires the daily use of computers, various monitors and other office equipment.
