School Receptionist/Administrative Assistant

The person in this position is responsible for greeting visitors and delivering friendly and efficient assistance to anyone entering our school. Strong communication and organizational skills are a must!   This position involves interacting with the entire St. Gabriel Parish and School community including students, families, faculty, staff, alumnae, and donors.  A professional, cheerful, and dynamic personality is imperative to be a part of the caring, welcoming environment that has been established in our school. 

In addition, a wide variety of administrative duties will be needed to support our school and those we serve.  Responsibilities include but are not limited to:

  • Student enrollment procedures and records
  • School attendance and lunch counts
  • Record keeping for both student and staff information (Maintaining Confidentiality is Required!)
  • Run and distribute student reports
  • School communications via phone, email, and text (BrightArrow Communications)
  • Receive, sort, distribute, and send mail and packages from the school office
  • Copying and filing as needed
  • Dispense non-prescribed medications in accordance with school policy.
  • Ensure office equipment is working properly and contact contractors for any needed service 
  • Purchase and organize school supplies and curriculum orders
  • Organize/schedule substitute teachers
  • Organize and manage lunch volunteer program
  • Assist students with health room needs
  • Sell and manage SCRIP orders through the school office
  • Oversee and assist with the public announcement system (PA)
  • Maintains reception area in a neat and orderly manner

 

Qualifications

  1. Strong Technology Skills

    1. Microsoft Word

    2. Google Suite Software

    3. **Knowledge/Experience with PowerSchool (SIS) is Preferred

  2. Possess excellent customer service skills and the ability to effectively communicate with students, staff, and parents

  3. Demonstrate personal characteristics of flexibility, reliability, punctuality, dependability, along with the ability to maintain confidentiality and multi-task.

  4. Demonstrate excellence in clerical skills, including accurate filing, proofreading, grammar, spelling, punctuation, arranging letter format, etc.

  5. Experience in receptionist and multi-phone line administration preferred.

  6. Be able to laugh and have fun.

  7. Ability to establish cooperative working relationships with faculty and staff to enhance the completion of assigned tasks.

  8. Ability to learn new ideas and skills for solving problems in a dynamic team environment.

  9. Effective oral and written communication skills are required.  

  10. The ability to multi-task, understand and follow specific instructions and procedures is required on a daily basis.  

  11. The ability to stay focused in an area with frequent interruptions is required.  

  12. The ability to prioritize duties and to deal with diverse populations, internally and externally, is required.

  13. Completion of Archdiocesan Safeguarding Training
