Student Services Administrative Assistant (100% FTE, full-time year-round)

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.

  1. Manages the Student Services Department for Divine Savior Holy Angels (DSHA) High School.  Greets visitors, schedules appointments for the Director of Student Services as well as the counselors, orders supplies, maintains the office equipment the Student Services Department.
  2. Processes forms, documents, purchase orders, reports, and general correspondence.
  3. Provides information to students, parents, faculty and alumnae via telephone, mail, email and fax. Maintains additional communication via website.
  4. Point person for translating parent phone calls. Assists with other department requests for translations as needed (Admissions, Campus Ministry, Finance, report cards, etc.)
  5. Prepares and mails transcripts for alumnae.
  6. Provides administrative support, detail management, and coordination for all student services programming.
  7. Maintains confidential and cumulative folders for all current students and alumnae.  Establishes freshmen and transfer student files and coordinates requests for the information from other schools.  Checks incoming files for immunization forms (for Main office) and identifies “special circumstances” that may need attention.
  8. Coordinates files with other schools as necessary.
  9. Provides administrative support to any therapists that DSHA works with in the future via any of the therapists in school models.
  10. Corresponds with TSC, collects materials, and coordinates printing and mailing.
  11. Completes event notices for Student Services programming and oversees the Student Services inclusions in the eNews and maintains the Student Services webpages.
  12. Maintains confidentiality of student information and/or personal experiences of students sharing information only with Director of Student Services and counselor of record.
  13. Gathers and prepares data documents requested as related to designated work responsibilities.
  14. Assists with the scheduling and coordination of the monthly middle school visits with students (UCC, Notre Dame, etc.)
  15. Covers the main office as requested.
  16. Gathers, coordinates, and prepares documents, textbooks, and materials associated with DSHA courses following guidelines associated with textbook vendors, financial aid, and Choice regulations.
  17. Prepares documents for Director of College Counseling when requested and approved by the Director of Student Services.
  18. Completes other duties as assigned.

Qualifications

Education and/or Experience:

Position requires a high school diploma or GED and one year’s experience in a support role, preferably in an educational environment.

Knowledge, Skills and Abilities:

Candidates with bilingual speaking skills in English and Spanish preferred and will be given strong consideration.  Effective oral and written communication skills are required.  Ability to understand and follow specific instructions and procedures is required.  Must be able to maintain confidential student files.  The ability to stay focused in an area with moderate interruptions is required.  Records maintenance skills and the ability to prepare and print routine correspondence, labels, and/or other basic written material.  Word processing and data entry skills are necessary.  PC experience and knowledge of MS Office is required, as is comfort utilizing databases.  Must be able to track data and generate reports as requested.  Ability to maintain calendars and schedule appointments is required.  The ability to prioritize duties and to deal with diverse groups is required. 

Physical Demands: 

While performing the duties of this job, the employee is frequently required to stand; talk or hear; and use hands to finger, handle, or touch objects or controls.  The employee is frequently required to stand and walk.  On occasion the incumbent may be required to stoop, bend or reach above the shoulders.

The employee must occasionally lift up to 10 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Work Environment: 

The work takes place in primarily an office/school environment.  There is occasional travel.
