St. Andrew Parish School is a faith-centered Catholic elementary school, fully accredited, serving Preschool through 8th grade students. We are located in Delavan, with an enrollment of 150+ students. Position Summary

We are seeking a highly organized, detail-oriented, and collaborative professional to serve as our Program Coordinator. This full-time position plays a vital role in supporting school operations, compliance, data management, scheduling, student services, and academic support programs.

The ideal candidate possesses exceptional office and organizational skills, strong attention to detail, excellent communication abilities, and a commitment to supporting students, families, and staff in a faith-filled school environment. This position requires an individual who is adaptable, resourceful, and comfortable balancing a wide variety of responsibilities. Flexibility is essential, as the needs of the school may change throughout the year and the successful candidate must be willing to step in wherever support is needed.

Primary Responsibilities

School Programs & Compliance

  • Administer the Wisconsin Parental Choice Program (WPCP) and Special Needs Scholarship Program (SNSP).
  • Serve as the primary point of contact for school-wide instructional technology platforms.
  • Coordinate field trips and related documentation.
  • Manage curriculum ordering, inventory, expenditures, and teacher requests.
  • Assist with Wisconsin DPI reporting requirements and compliance.

Data Management & Reporting

  • Manage WiseID assignment and student data records.
  • Monitor and maintain WiseData submissions and corrections.
  • Review and resolve data errors between OptionC and DPI systems.
  • Submit and track support tickets related to student information systems.
  • Assist with state reporting, audits, and required documentation.
  • Serve as a backup for food service verification and reporting functions.

Operations & Administrative Support

  • Coordinate substitute staffing and daily coverage needs.
  • Coordinate calendars, schedules, and administrative projects.
  • Assist with office projects and school-wide initiatives.
  • Support daily school operations as needed.
  • Assist administration with special projects and operational needs.

Student Services & Academic Support

  • Serve as the primary point of contact for Delavan-Darien School District Special Education referrals.
  • Coordinate entrance exam scheduling and organization for prospective students.
  • Maintain and update student academic support records and data.
  • Coordinate schedules for Title, Resource, and intervention services.
  • Assist administration with master scheduling and student support planning.

Qualifications

  • Bachelor’s degree preferred.
  • Strong organizational, administrative, and office management skills.
  • Excellent attention to detail and ability to manage multiple priorities.
  • Proficiency with spreadsheets, databases, and computer applications.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and professionalism.
  • Experience with educational software, student information systems, data management, or office administration preferred.
  • Experience in a school, nonprofit, or administrative setting preferred.
  • Ability to work independently while collaborating effectively with school staff, families, and administration.
  • Flexibility is essential, as responsibilities may shift throughout the year based on the evolving needs of the school.

Compensation & Benefits

This is a full-time position with benefits. Salary is commensurate with experience and qualifications.
